We've been using the construction ledger system for a few days now.
We centralize everything from time and attendance management to customer management, from budgets to quotes, and from incoming and outgoing payments to employee attendance.
The great thing about this kind of thing is that once you set it up, it makes things much easier afterward.
With the data standardized, you'll rarely find yourself wondering, "Where is this?"
Plus, it makes it easy to see things like cost management at a glance, and you can see attendance at a glance, too.
Of course, we also know the cost at that moment.
On the other hand, there are also some drawbacks.
The cost of the software. It's actually pretty pricey, lol.
And the way we do things will be completely different from before.
This might be the hardest part.
Up until now, we’ve mostly been using Excel, but since we’re switching to a system, we’ll basically be following the system’s specifications from now on.
Budget → Estimate → Order Setup → Work Completed → Invoicing & Payment → Profit Margin, etc.
It seems like I have to set everything up in a specific sequence, which is a real pain lol.
On top of that, it’s this over-the-top software that lets you create a worker roster just by registering employees, vehicles, and employee qualifications lol (It’s a great program! lol)
I made a worker roster in Excel, then a worker roster in Green File, and even a worker roster for the system...
Plus, the forms vary depending on the general contractor...
Well, I'm not going to force myself to build the system, but the thought of being able to centralize everything does make me want to give it a try.
While it's possible to manage costs in great detail, in some cases that level of detail isn't actually necessary.
I don't think it makes sense for us civil engineers to demand that level of detailed management.
The more detailed the work, the greater the workload—but that doesn’t necessarily mean higher profits. That’s just how office work is.
If the contract amount is small and a single sheet of plywood can make a difference in profit, then it really doesn't matter at all, lol.
Just a little bit is enough.
One thing I don't like is that the invoice comes out on three A4 pages.
Our invoice is just one A4 page.
I've been thinking I really need to do something about this.
Well, I could just import the CSV file and use a macro to quickly add it to existing invoices, though.
It’s a hassle to try new things, but doing this will make a significant difference in how you handle administrative tasks 10 years from now.
Administrative tasks are important, but since they don’t generate much revenue, they need to be simple and cost-effective.
And since this is an important part, it needs to be managed carefully.
Well, I guess I'll just have to keep struggling with this system for a while.
