It would be a problem if you didn't know which documents the first- and second-tier subcontractors are required to submit, wouldn't it?
So, for now, I’ll go ahead and list the necessary documents.
1. Sub-Subcontracting Notification
2. Construction Business License
3. Notice Regarding Workplaces Covered by Social Insurance
4. Notification of Employers Subject to Employment Insurance
5. Construction Industry Retirement Allowance Association Membership Card (Chutai-kyo) or Notice of Withdrawal (if the company has its own retirement benefit plan)
6. Optional Insurance (There is no insurance policy with this exact name, but it is commonly referred to as "voluntary insurance")
This is the insurance required for business owners when they work on-site. (Business owners and executives are not eligible for workers' compensation.)
7. Site Representative Certification (Civil Engineering Construction Management, or 10 or more years of practical experience, or a construction machinery-related certification)
8. A photo of the site representative (taken within the last 3 months, if possible)
9. List of Workers
10. Copies of each employee's ID card
11. A copy of the social insurance premium payment slip (it’s okay to black out the amount)
12. Labor Insurance Payment Form (It’s okay to black out the amount)
13. Copies of the vehicle registration certificates for commuter vehicles, etc., as well as copies of compulsory automobile liability insurance and voluntary automobile insurance policies
14. Commute Route Map
15. Notification Form for Imported Machinery
16. Notification of Machinery in Use
Is that about right?
If I had to say which ones are needed most urgently, I'd say numbers 1 through 12.
It’s definitely easier if you keep all these documents together in a single folder on your computer.
Even in cases where it's unclear who will be on-site, there's generally no problem as long as you submit the list of all workers.
The most important thing when you arrive on site is, without a doubt, your paperwork!
That's all there is to it!
We won't work with subcontractors who can't even provide the necessary paperwork.
From the director's perspective, they're just a hassle to deal with.
Safety paperwork is really a hassle, isn't it? I'd like to simplify it as much as possible.
However, safety documents are a different story. They are absolutely essential.
We generally do not use contractors without the proper documentation for public works projects! Contractors without the necessary documentation are considered unsafe.
To prevent that from happening, please make sure you can produce your safety documents quickly and easily anytime, anywhere.
Saying things like “I’m not good with computers” or “I’m not comfortable with them” just won’t cut it.
If possible, it’s fine to keep a paper copy, but please keep a scanned copy if you can.
These days, even if you get something on paper, you're like... lol
We're registered there, too. Within the "Construction Site" section, there's a page called "Green Site" (registration required).
It's a bit of a hassle to fill out, but it's really convenient when it's time to submit! I highly recommend it!!
